The minutes of the AGM.
Saturday 10th March 2007, Taynuilt Hotel
Present: Carol Burnapp, Gill Berrow, Andy Beveridge, Mandy Peden, Andy Dale, Ross Lilley, Niall Urquhart, Paul Frost, Lynne Walker.
- Welcome & Apologies
Niall Urquhart welcomed members to the 2007 A.G.M. Apologies were received from Mary Greig, Fiona Berrow, Andrew Berrow, Julie Watson, Alison Duncan, Kate Hunter. - Minutes of the 2006 A. G. M.
The adoption of the minutes was proposed by Paul Frost and seconded by Ross Lilley. - Committee Reports
- Chair: Niall Urquhart, Niall circulated a written report (attached to the minutes). In summary, EckO has come a long way over the past year, increasing the number of local events held; in May EckO hosted a SOL & FCC final (a Regional event) and in September the 11 Person relay. Both of these events raised the profile of the club on the Scottish orienteering scene. He finished by thanking the committee for all the voluntary work they have done over the past year.
- Secretary: Lynne Walker, Most of the secretarial work is the dissemination of information that comes from the SOA, British Orienteering and other clubs. Email and the Internet have greatly helped in this and made the task of secretary a lot easier. Apart from that, there is the usual committee business to keep on top of – and other committee members to chase up for responses!
- Treasurer: Ross Lilley, Ross circulated draft accounts for EckO for 2006 – 2007. He stated that we are very much at the same stage financially as we were this time last year. This hides the fact that a lot of money has gone through the accounts – the income raised at national and local events seemed to cover the costs of running them (including map printing and equipment costs, OCAD licenses etc) . The two national events staged by EckO raised useful profits which allowed us to purchase one or two capital items such as 2 tents for local events. We have been awarded grants and have spent accordingly. Then He mentioned the ABOP accounts are effectively closed and the fact that these will need to be audited; Lynne suggested getting in touch with Robin Orr (Clyde & 6 Day Treasurer) for this.
- Publicity, Equipment & Membership: Paul Frost, Paul circulated a written report (attached to the minutes). In summary, - the website is developing all the time. - he is about the change the membership database and will be requesting people to re-sign up to EckO if they wish to continue to receive the orienteering information. - quite a lot of investment in new equipment, electronic & hardware. Argyll & Bute Orienteering Partnership (ABOP): Niall Urquhart Niall circulated a written report (attached to the minutes). In summary, the following areas still need to be mapped - Some where on Bute (Mount Stuart / Rothesay Woods?) - Inveraray - Lochgoilhead (need to check copyright with the Scout Centre) - Andy Beveridge also suggested the area to the north of Portavadie. There was more discussion under A. O. C. B.
- Membership fees / structure for 2008 (Ross Lilley)
It was agreed that we do not need to charge a club membership fee for 2008. Entry fees for local events were revised to Junior: £2 (as at present) Senior: £3 (50p increase) Charges are per map. These will be implemented at the Spring Series 2007 onwards. Proposed: Niall Urquhart Seconded: Paul Frost - Events 2007 / 2008
Winter Series 2007: Niall Urquhart & Lynne Walker This year we have tried to have at least one event per month throughout the winter. There was some debate about trying to keep to a consistent day – should it be Saturday or Sunday? Eventual decision was for Saturday as this rarely has a conflict with other orienteering events members might wish to attend.
Spring Series 2007: Niall Urquhart & Lynne Walker 2007 will see our biggest ever series of local events when the club put on 8 events between mid-April and the end of May. There will be a ‘closed season’ June – August (midges / bracken / holidays)
Scottish Champs weekend: Lynne Walker This is 16th – 17th June near Dalmellington in Ayrshire. The West Area are hosting the event and EckO will be asked to help for at least one day. Paul Frost is to put a bit on the website about the event. Can we persuade a few club members to come along for the weekend? Ross Lilley & Niall Urquhart are to actively approach people. Niall Urquhart is to look into the possibility of taking a minibus. A convenient campsite will be researched. (Try this one)
Spey 2007: Day 1: Ross Lilley EckO are involved with helping on Day 1 (Sunday 5th August) at Alvie, between Kingussie & Aviemore. The club have been allocated car parking duty, which also involves setting the area up on the Saturday. There are 3 good fields for the parking area.
Autumn 2007 / Winter 2008 events: all The new committee should look at this programme as a matter of priority. - Permanent courses in Argyll
EckO are in the process of setting up a number of permanent orienteering courses in Argyll:

(a) Equipment Equipment inventories will be made by Niall Urquhart (Lorn) and Lynne Walker (Cowal). These will be sent to Ross Lilley as part of the club assets.
(b) Club O Tops These should be with us by the end of March 2007. Paul Frost will chase them up.
(c) ABOP Niall Urquhart raised many questions as the funding will come to an end within the next year. What direction do we want to go in? Should we be setting up a Trust? Employing a Development worker? After discussion, Niall was requested to put a paper to committee for discussion. - Date of 2008 A. G. M.
This has been set for the start of March 2008, provisionally Saturday 8th March 2008. Location to be advised. - Award of Club Trophies

The first meeting of the new committee will be after the local event at Ardkinglas & Ardno on Tuesday 8th May 2007. It will be held in the Stagecoach Inn, Cairndow.
